Digital Preservation Policies

The Journal Reflexiones Contables, uses the digital preservation system LOCKSS (http://www.lockss.org/), from Stanford University, which offers digital preservation services, in open source, seeking the objective of providing and preserving permanently access to digital content generated through our publication, regardless of the platform used at any given time. In addition, it allows digital content to be shared securely among participating libraries.

The process is carried out in a continuous and uninterrupted manner, seeking in digital preservation to ensure both present and future access to archives and digital assets, regardless of whether they are digital or digitized versions. It is a process of managing digital assets and ensuring that they can be used in the long term. The process must ensure use even as file formats and technologies evolve.

The digital preservation process in the journal, includes different processes with all incoming material, such as:

1. Preservation value assessment.

2. Identification and classification.

3. Verification of the integrity of the materials.

4. Characterization of content.

5. Sustainability assurance.

6. Authenticity verification.

7. Assigning access and entry.

8. Adding metadata about the preservation process.

There is a whole strategy to ensure the security and integrity of the information stored by the Journal Reflexiones Contables, taking into account three aspects (hardware, software and others), it can be stated that, at present, the access service to the Journal Reflexiones Contables UFPS, guarantees a monthly expected service level (SLA) that is close to 99.9%.

Hardware.

1. Use of high-performance professional servers, equipped with redundant systems both in energy and storage devices.

2. Use of virtualized servers and services to make optimal use of existing hardware and guarantee the expected performance.

3. Electrical backup that gives the systems an autonomy of more than 12 hours of operation in case of power supply failures.

Software

1. Use of operating systems and applications based on free software with GPL license.

2. Design of a security system that includes the existence of firewalls, intrusion detectors and cross and automated backup systems that ensure the preservation of information in the event of natural disasters or computer catastrophes.

3. Constant updating of operating systems and applications.

4. Defined policies for updating the platforms used by the journal (OJS).

5. Strict policies for backup systems.

6. Use of defined text editors based on free software.

7. Control and policies for the definition of system administrative users and passwords.

8. Use of secure protocols (https).

Other

1. Guarantee of an adequate power supply to the data center that houses the magazine, as well as physical security of the premises.

2. Strict measures regarding the climatic conditions of the data center premises.

For digital preservation purposes, Revista Reflexiones Contables  recommends the deposit of documents in easily readable formats (such as PDF). Generally speaking, open formats such as JPG, OpenOfiice compatible files, etc., are preferred over proprietary formats (Word, GIF, etc.). In the event that it is not possible to maintain the usability of all existing formats, the journal's technical support will return the files to their authors.
